Reminder: 2019 end of cycle provider EXACT records supply

EXACT is our commissioned analysis data service, available exclusively to UCAS Undergraduate scheme customers.

We can provide you with all your underlying data as a computer readable data file, under an internal-use EXACT licence – free of charge. Find out more about EXACT.

In previous years, we’ve supplied you with your underlying data from EXACT (refreshed with the previous cycle data) as a one-off supply. This year, we’re supplying multiple data files throughout the year, so you can access more up-to-date information about your position, enabling you to replicate analysis you could commission through EXACT.

The next data supply will be the January deadline (2019 cycle) data files, on 28 February 2019.

We’re in the process of adding three new variables to EXACT:

  • Index of Multiple Deprivation (IMD)
  • Northern Ireland Multiple Deprivation measure (NIMD)
  • Welsh Index of Multiple Deprivation (WIMD)

So you can access these new variables, we’ll be reissuing the 2018 end of cycle PERS data supply, alongside this 15 January deadline PERS data.

These variables are being added, and the 2018 end of cycle data reissued, because the Office for Students (OfS) is working with us to develop an application data collection tool for providers to download from its website. You’ll able to copy in your UCAS data, and record your direct applications in the tool. It will then calculate the aggregate data, which you are required to submit to the OfS and publish on your website.

Use of this data collection tool is not mandatory. You can use your own systems if you prefer, as long as the way you record the application data enables you to provide aggregated data in the format required by the OfS for submission.

What you need to do

If you opted in to receive the original 2018 end of cycle data files back in December, you’re already opted in for these data supplies, and don’t need to opt in again.

If you didn’t opt in to receive the original 2018 end of cycle data files, but would like to receive the 2019 January deadline files and the reissue of this data, your UCAS Primary Correspondent needs to complete this request form, agree to the terms and conditions, and return the form to exact@ucas.ac.ukby 17:00 on Friday 22 February 2019.

File details

  • Files will be provided in CSV format, and will contain one record for each of your applications and acceptances.
  • Files contain up to 99 fields, including applicant ID, each following the analytical EXACT definitions. A file listing these definitions will also be provided.

After you’ve returned your signed request form, you can access the 2019 January deadline files, and reissue of the 2018 end of cycle data files, through MOVEit, the secure file transfer service, from 17:00 on Thursday 28 February 2019 until 17:00 on Thursday 28 March 2019.
