Referrals to 'closed' courses

Applicants will not be able to select a course in Track if it has a Clearing vacancy status of 'closed'.

Posted Wed 2 August 2017

If you want to consider an applicant for a closed course, you must follow these steps:

  1. Mark the vacancy status as 'None' in the vacancy section of Course Collect.
  2. Mark the course 'not for publication'.
  3. Wait for the course to disappear from the search tool (up to two hours).
  4. Set vacancy to appropriate status in Course Collect.
Marking the course in this way will ensure it is not displayed as a Clearing vacancy, or as a selectable option in Track. You must, therefore, advise the applicant to type the institution code and course code into the relevant fields in Track when adding the Clearing choice.

This option should be used only in circumstances where you have a course with only one or two vacancies, and where you would receive a high number of referrals if the course were visible in the Clearing vacancy listings – e.g. medicine courses. We will be monitoring use of this process throughout the Clearing period.
