How to set courses as ‘not for publication’
A course should be set to ‘not for publication’ if it only has a few vacancies, and if published in Clearing, would receive a high number of applications.
Applicants who are aware of the course will be able to add it in Track, but it will not be visible in the search tool.
You need to set your course to ‘not published‘, and then update the vacancy status.
To set a course to not published
- Find and click on the course in course management. Click on the outcome qualification.
- Scroll down to the course options section.
- In the ‘bulk actions’ menu, select ‘publication status’, and then ‘go’.
- Select ‘not published’ for each course option.
- Click ‘save’.
To set courses to not published in bulk
- In course management, click on the menu (three dots in the top right-hand of the screen), and then ‘bulk management’.
- Select ‘edit course status’ from the first drop-down menu. Select ‘publication status’ from the next drop-down menu, and click ‘next’.
- Select ‘unpublish’ and click ‘next’.
- Click the ‘select all’ button, or tick the boxes next to the courses.
- Click ‘review’, and then ‘unpublish’.
- After the course has been set to not published, update the course as having vacancies
Clearing vacancy report
You can download a report from the collection tool to help you manage your Clearing vacancies. If you make a change in the collection tool, it will be immediately reflected in your report.
To download vacancy information from the collection tool
- In course management, click on the menu (three dots in the top right-hand of the screen), and then ‘download courses’.
- Select ‘vacancy status’ and click ‘next’.
- Click ‘download’. The report can be exported as an Excel spreadsheet.
- Filter the report on academic year (column H) to 2019-20.
