Applicant replies to change at Confirmation offers (UCC)
The length of time applicants are given to reply to UCC offers will be reduced from 21 days to five days once Confirmation starts. This will help you calculate your vacancies. It’s important to remember:
- the five day reply by date starts when an applicant has decisions from both their firm and insurance choice (if applicable)
- if an applicant has been confirmed at their firm choice, they cannot then accept a UCC offer at their insurance choice
- applicants who are made UCC offers before periods of restricted Track service and are due to decline by default (DBD) during this time, will be advised to phone our Customer Contact Centre to make their replies
- there will be two periods of restricted Track service for applicants whilst exam results are processed (27 July - 4 August for SQA; 7 - 13 August for A levels). Confirmation decisions and UCC offers made against choices during this period will not be displayed until 4 and 13 August, respectively.
We understand that occasionally a UCC may be used even when an applicant has met and exceeded their conditions, because they have requested a change of course, for example. Please be aware that if after a UCC you choose to make a further amendment, this would stop the applicant from being able to register for Adjustment.
Clearing contacts
There are three different types of Clearing contacts for you to add in Course Collect this year. Here’s an explanation of where they will be used:
Text messages: we will only text you in the event of an emergency, and to update you when the key ABL results files will be available. To receive our text updates, please ensure your Clearing text alert contact details are up-to-date in Course Collect. If you enter a Clearing text alert contact, we will be sending you a test text next Wednesday morning.
Clearing referrals
Following feedback from some providers, we’d like to remind you of the correct procedure for Clearing referrals.
Applicants who are eligible for Clearing are now able to refer themselves to courses that have vacancies. We have made every attempt to ensure information regarding the Clearing process is clear and readily available to applicants. All our Clearing messages to applicants and advisers explain that applicants must contact you to discuss their suitability for any course they want to apply for, before making a referral in Track. This is also stated in Track, before an applicant is able to add a Clearing choice.
You can search for applicants in web-link via applicant data, using their Personal ID to confirm they are eligible for Clearing, and view their application. If you then want to offer a place, please advise the applicant to refer their application to you, by adding the course as a Clearing choice in Track.
