Identifying applicants who applied by the deadline
As it is not possible for us to complete processing of all 'on time' applications on 15 January, some will show an 'application processed' date of 16 January 2015. These are still deemed to have been received on time. You can identify applicants who applied on time by the following flags:

Applicants who initially applied by 15 January but then add or substitute a choice from today onwards will be moved from the ‘On Time’ Outstanding Decision List to the ‘Post 15 Jan’ Outstanding Decision List:
- Their applications will be marked as ‘Late’ to ensure they are not rejected by default whilst the new choice(s) are being considered.
- These applicants will still have an ‘applied on’ date of 15 January or earlier in the ODL list and should be given equal consideration if they were referred to your university or college by the deadline of the course they are applying for.
Digital copy forms
We are aware that digital copy form batches are taking longer than normal to be available due to the large volume of forms being produced. We apologise for any inconvenience caused.
If you do use digital copy forms, the text at the top of the form will help you to identify applicants who applied before the relevant course deadline.
- Pre 15 Jan: Indicates new applications that reached us by the 15 January deadline.
- Post 15 Jan: Indicates new applications that have been sent and reached us after the 15 January deadline and before the 24 March deadline.
- Post 24 Mar: Indicates new applications that are received by us after the 24 March application deadline.
Please remember that a tilde ~ on a digital copy form indicates that more data for this field is available through the link products.
Closing courses
You can now use Course Collect to close courses with a 15 January deadline. The Course Collect user manual, Section 5-vacancies, explains how to do this. You will be able to select one of the following vacancy statuses for these courses:
- UK and EU
- International Only
- None
- UK excluding Northern Ireland
- UK excluding Scotland
- UK (excluding Scotland) and International
- UK (excluding NI) and International
- All
Discontinued course reminder
If you are discontinuing one of your courses, please make every effort to offer affected applicants an alternative course at your university or college. If this cannot be arranged, or the applicant decides they do not wish to take this offer, please ensure that the appropriate courses are marked as discontinued or suspended before referring applicants to us for substitution.
Multiple start dates
We make every effort to prompt applicants to indicate if they are likely to accept an offer with an early start date. If the start date has passed without a reply from the applicant, please ensure you update the UCAS record accordingly.
