1. Reply swaps
Consumer law requires us to give applicants the chance to change their replies once, during the 14 days after they reply to their offers.
After 14 days, we can make the reply swaps on the basis that:
- the applicant contacts the providers they want to move from and to, to ask for permission to change their replies
- the applicant contacts us to advise the changes they want
- you contact our HEP Team to agree to the change. Do not record a reject or withdrawal decision, as this will prevent the applicant making a reply swap or using Extra. If you need any guidance, please contact the HEP Team
When we get everyone’s permission, we’ll make the change – as long as it’s before 19 July, as this is the last date for amended decisions. More information is given in section 4 of the UCAS Undergraduate Admissions Guide.
2. Changed course offers
If you offer a different course, point of entry, or year of entry, it’s good practice for you to contact the applicant to let them know why you’re making the change. Although prior agreement isn’t essential (unless they have a confirmed place with you), it helps them understand what the change is, and is likely to improve their experience. Please note, if the applicant is unconditional firm (UF) with you, you need to get their permission before making a changed course offer. 3. Who can use Extra?
Extra is open until 4 July. To use Extra, an applicant must have used all five choices, and not be holding any offers, as they have either:
- withdrawn
- been unsuccessful
- declined any offers made to them
If an applicant hasn't used all five choices, they may be able to add an additional choice in the main scheme.
Applicants are locked into an Extra choice for 21 days (unless the application is withdrawn or made unsuccessful by the provider). After 21 days, the applicant can continue to wait for a decision from the provider, or withdraw from them in Track and add another Extra choice.
